What ExCeL asks of a stand team

ExCeL is a long building. The halls run in a line off one central boulevard, the aisles are wide, and visitors arrive with a route planned and a list of stands to hit. That changes the job: a team waiting to be approached will watch most of the floor go past.

What works is people who will step out, open a conversation in the aisle, and come away with a scanned badge rather than a pleasant chat. It is a more forward posture than a consumer show needs, and it is the single thing we brief hardest on for ExCeL work.

The shows that set the tone

WTM London on 3–5 November is the anchor of the whole quarter and one of the reasons the first week of November is the tightest staffing week of the autumn. IAAPA Expo Europe runs 21–25 September, though the exhibition floor itself is open 22–24 September — three days of stand staffing, not five, which is worth getting right when you budget.

Elsewhere on the calendar, Brand Licensing Europe takes 6–8 October, and 4–5 October carries two separate co-located shows in the same halls: Salon International and Professional Beauty London. November closes with HIX Europe alongside London Build Expo on 25–26 November.

Its busiest day

19 November is ExCeL's peak, with three shows open at once: B2B Marketing Live & CX Expo, the London EV Show and the London Vet Show. Three shows in one venue pull on the same pool of London-based staff, and the stand that booked second is the one that feels it.

Lead-capture hosts

The default at ExCeL. Trained on your scanner or capture app, briefed on what disqualifies a visitor as well as what qualifies one, and working to a number rather than a vibe.

Multilingual hosts

On WTM and IAAPA in particular, a second language pays for itself several times over in a day. Tell us which languages the stand needs and we match against the roster rather than hoping.

Brand ambassadors

For stands where the brand is the point and a scanned badge is not the only measure. Fully briefed on product and tone, not just greeting.

Rotated teams for long runs

Anything past three days needs relief built in from the start. We handle the rota so the last day of a five-day stand looks like the first.

How many staff does an ExCeL stand usually need?

It depends on stand size and how much of the day is lead capture. A small stand working a trade show runs on two; a larger stand with a demo area and a target for scanned badges is usually four to eight. Send us the stand size and what a good day looks like and we will suggest a number and a mix.

Can I book staff for one day of a show?

Yes. Single days are common at ExCeL, particularly the first day of a trade show when footfall peaks. Longer runs are better value per day, and on runs past three days we would recommend a rota rather than the same faces throughout.
